Workshop registration that keeps track of free places by itself.

The Instytut 3S foundation runs workshops and projects that support professional, social and personal development. Its website runs on WordPress with Elementor. The foundation needed registration that tracks the number of places on its own, asks about participants’ needs straight away and keeps every registration in one place.

A ready-made form was not enough

The foundation runs workshops on many dates, and every date has a limited number of places. Some participants need specific support to take part at all. The organiser has to know this at registration, not from an e-mail the day before. So instead of an off-the-shelf form, we proposed a system shaped around how the foundation works.

What did we build?

A form that knows how many places are left.

The form shows current workshops and dates, and the figures update with every registration. When the places run out, registration for that date closes automatically. The organiser can also set reserve places and keep registration open for a few extra people.

A panel in the WordPress dashboard.

The organiser adds workshops and dates, sets limits, and reviews, filters and exports registration lists. A registration can be corrected at the participant’s request, while selected fields stay locked so the record remains reliable.

Participants’ needs from the first step.

The form asks whether the participant or their child needs support: enlarged materials, alternative text, a step-free room, an assistant, interpreting, a special diet or childcare. After registering, both the participant and the organiser receive an e-mail confirmation.

Who did what?

The project was carried out with B2B Care, which handled client contact. Adrian designed and wrote the registration system as a custom PHP plugin and deployed it on the foundation’s existing website. It is his own work within DeMenso.

What happened after launch?

The system takes registrations for each new workshop. The organiser runs it from the WordPress dashboard without a developer. We make changes and provide support at the client’s request.

Asking about needs in the form itself is a small detail that changes a lot. The organiser knows in advance how to prepare, and participants do not have to ask for support separately. That is what accessibility and inclusion look like for us in practice.
